When you enter a recurring event, you have the option to both edit and toggle off specific occurrences of that event. This allows you to add recurring event to the calendar even when you don't yet have all the details for events that will occur further out in time. As you learn the details, you can edit and update the specific event occurrences.
For example, if you had a recurring book club meeting that occurred on the third Thursday of November, you could enter the recurring event merely as Book Club, with a generic image, and minimal description indicating where it meets and any other general information. This is your "main" event entry. As you learned which specific books would be discussed on specific dates, you could go in and update each specific occurrence to have a title such as "Book Club: Book Title," a photo of the book as an image, and an updated description with discussion questions for that specific book. You could also toggle off any occurrences on an evening where regularly scheduled book club was canceled.
How to Update a Specific Event Occurrence
- Click on Events.
- Using either the calendar grid or the list view, locate the event that you want to edit.
- Click on the specific Event you want to edit.
- On the right column, click on the Edit Event Occurrences button.
- From here, you can toggle off any events occurrences that won't be happening.
- Click on the pencil to override the title, description or image. Note - this is an override, so it will replace the title, description or image that exists in the "generic" or main event entry.
- Click on Update
Notes:
- You can update occurrences and go back in and edit them, ie, update them again.
- It is often helpful to make a note to yourself in the notes field near the bottom of the right column when you have toggled off or updated an event occurrence. This saves you from having to click through to see what work you've already done. This notes field is purely for your information and does not show up on the event when it is published on the website.
- If you have a brief "generic" description of an event which you want to include in each event occurrence and follow it with more specific information pertinent to that occurrence, you must copy the description from the main event screen and paste it on the event occurrence description. Then, you can add additional information.
